User and Client Settings

This chapter describes the most important settings that influence whether users receive Invoice notifications.

User Status

Only active users receive Invoice notifications. Inactive users are skipped during recipient resolution.

Client Assignment

A user must be assigned to the relevant client. The assignment is usually done through a user role in this format:

mandant - <client number>

Example:

mandant - 1000

Without this assignment, the user is not considered a recipient for that client.

Send E-Mail Alert

The Send E-Mail Alert field controls whether a user may receive Invoice alert e-mails.

Typical values:

  • Yes
  • No
  • empty

An empty value is treated as active. No prevents alert e-mails from being sent to this user.

Send E-Mail Report

The Send E-Mail Report field controls whether a user receives client-specific Invoice reports.

For overdue reports, this field must be enabled. In addition, Send E-Mail Alert must be enabled or empty because delivery uses the general alert mail logic.

Substitution

Reminder e-mails can take substitutions into account. A substitute receives the e-mail only when the substitute:

  • is valid on the current date,
  • is active,
  • is assigned to the same client,
  • has a valid e-mail address.

If these conditions are not met, the e-mail is sent to the originally responsible person if that person is eligible.

Test and Safety Mode

In test mode, alert e-mails can be redirected to a central test address. In restricted mail mode, e-mails are sent only to explicitly allowed recipient addresses.

These modes are useful for tests and production-like validations because they prevent unintended messages from being sent to real users.
